Operations
Purpose
- Provide support to the department using multiple software platforms to enter and maintain accurate records within MAXIMO, Cognos, SAP and KRONOS.
- Provide front-line audit support as requested.
- Perform administrative duties for Section Managers and Directors across multiple departments.
Responsibilities
- Spare Parts & Inventory Control: Maintain accurate MRO/spare parts inventory levels in MAXIMO and SAP; perform cycle counts; reconcile discrepancies; ensure proper storage, labeling, and organization.
- Parts Issuance & Kitting: Issue parts against maintenance work orders per system requirements; kit and stage materials for planned/scheduled maintenance; coordinate with maintenance teams.
- Procurement & Replenishment: Initiate purchase requisitions for spare parts/consumables; monitor min/max levels and reorder points; coordinate with procurement teams and vendors.
- MAXIMO & SAP Transactions: Execute receipts, issues, transfers, and adjustments; maintain item master data and stock location records; ensure accuracy and consistency across systems.
- Work Order Material Support: Ensure parts availability for work order needs; update material usage within work orders; maintain material traceability for correct closure.
- Inventory Reporting & Tracking: Generate reports on inventory, usage, and reorder status; track critical spares and analyze consumption trends; support audits with accurate documentation.
- Vendor & Material Data Maintenance: Maintain material specs and vendor data in SAP; submit/monitor DSP requests; review/process EMS excursion reports.
Qualifications
- High School diploma or equivalent; some college preferred.
- 3+ years of MAXIMO and SAP experience.
- 3+ years administrative experience.
- Advanced knowledge of Microsoft Office Suite 365, Visio, OneNote, Teams, and Outlook.
Preferred
- Manufacturing experience in pharmaceutical, medical device, biotechnology, or food industries.
- Exposure to quality systems (e.g., Veeva).
- Familiarity with MRO spare parts and maintenance workflows.
- cGMP experience (highly desirable).
