The Senior Specialist, Publication Operations is responsible for providing operational support and expertise to the Global Scientific Publications (GSP) Team, including support for GSP-managed scientific congress activities (poster shipping/printing, QR code creation, calendar) and end-to-end vendor management (billing, P.O. maintenance, oversight). Accountabilities include compiling/managing vendor lists, providing contract spend and expiration status, managing required compliance documentation, and liaising with Outsourcing, Purchasing, GMO, and Finance.
Responsibilities:
- Support all GSP vendor/contract activities (creation, tracking, billing) with accuracy for monthly budget forecast
- Train vendors on policies/procedures and maintain vendor relationships (health checkups, billing timelines, record completion)
- Perform invoice analysis and budgetary reconciliation across GSP
- Interpret data, identify issues/cost savings/adjustments via LBE meetings
- Compile/report metrics and KPIs; prepare routine and ad hoc reports for financial/budget tracking
- Create/manage yearly congress calendars/trackers; create/manage QR codes for scientific posters; facilitate poster printing and shipping
- May support routing IIS, PAA, LP, and other publications for 1070 approval
- Interact with management and functions including Corp Accounts Payable, Finance, Outsourcing, GMO Project Managers, and GSP
Qualifications:
- BA/BS (preferred focus in Science, Healthcare, Business, or Project Management)
- 2+ years in data entry, clerical, document specialist, or reconciliation roles
- Prefer 4+ years and experience/training in project/process management, publications management, medical/technical writing, Datavision software, compliance
- Process-oriented; manage multiple projects and reassess priorities
- Highly detail-oriented; self-directed; strong organizational and oral/written communication skills
- Able to work with hard deadlines; critical thinking and analytical/problem-solving skills
- Discern general vs. confidential/sensitive reporting
- Proficient in Microsoft Office, SharePoint/database, and electronic file storage/retrieval
