Responsibilities:
- Lead the congress planning lifecycle: plan, coordinate, manage, and deliver medical affairs events on time and within budget.
- Align with cross-functional partners to define congress strategy and coordination.
- Develop tactical plans and execute logistics for medical activities (booths, meeting spaces, team dinners, sponsorships, advertisements, etc.).
- Identify educational opportunities for medical affairs at global congresses aligned to medical strategy.
- With Medical Strategy, manage project management logistics for global Alliance Medical meetings (schedules, agendas, notes, action items).
- Own budgeting: process SOWs, create POs, ensure invoice accuracy, align with budget, and manage chargebacks.
- Manage multiple vendors for end-to-end execution.
- Manage Veeva MLR submissions for booth builds/content; create booth materials with Medical Content point and vendors.
- Manage medical affairs team meeting agendas, scheduling, and meeting notes.
- Maintain professionalism and foster positive relationships while managing condensed timelines and multiple projects.
Qualifications/Experience:
- Bachelorβs degree (related discipline) + 5+ years in biotech/pharma in congress planning/operations/strategy/logistics (required).
- Previous oncology experience (required).
- Oncology medical affairs/medical operations experience (desired).
Required/Preferred Skills:
- Strong project management; attention to detail; urgency.
- Familiarity with Veeva systems and medical/legal/regulatory (MLR) (required).
- Collaborative, organized, decisive judgment; ability to prioritize and manage multiple projects.
