Responsibilities:
- Lead end-to-end operational planning and execution of Medical Affairs–led congresses/scientific meetings, focusing on logistics, rigor, and data-driven support for presentations.
- Own logistics planning/execution; translate business objectives into operational plans, timelines, and execution strategies.
- Coordinate internal teams and external HCP programs; ensure alignment to approved scope, timelines, and standards.
- Manage high-volume event data: entry, validation, reconciliation, analysis, and submission across internal systems/channels.
- Maintain event data across platforms; ensure audit-ready, traceable, compliant documentation.
- Partner with Medical Affairs stakeholders on scope/objectives; provide status updates, risk/dependency identification.
- Manage preferred agencies/vendors (deliverables, timelines, budgets) and oversee onsite execution (registration, space, AV, travel, and ancillary logistics).
- Manage concurrent programs/workstreams; handle PO/invoicing/reconciliation and post-event financial reporting; lead post-event debriefs and continuous improvement.
Required/Preferred Qualifications & Skills:
- Bachelor’s (5 years) or Master’s (3 years); Event Management/Hospitality or related field preferred.
- 3–5+ years planning complex, multi-stakeholder meetings/events; experience in regulated Medical Affairs/scientific congresses preferred.
- Strong technical proficiency; high accuracy managing detailed data across multiple systems.
- Microsoft Office required; Smartsheet/Asana/Cvent (or similar) preferred.
- CMP certification preferred; travel up to 25%.
Benefits/Compensation:
- Salary range: $117,895.00–$152,570.00. May be eligible for bonus, stock-based long-term incentives, and paid time off; benefits include company-sponsored medical, dental, vision, and life insurance.
