Medical Education & Operations Lead
Position Overview
The Medical Education & Operations Lead is a senior leader within Medical Affairs, responsible for operational strategy, execution, and team effectiveness. Reports into the Head of Medical Capabilities.
Key Responsibilities
- Lead strategic planning and operational oversight of Medical Affairs activities; ensure alignment across annual medical planning, execution priorities, and objectives.
- Provide leadership for Extended Medical Leadership Team and Department Hot Topics Meetings (agenda planning, follow-up tracking, and coordination).
- Oversee internal medical team training and onboarding.
- Oversee core operational processes: budget planning/tracking, contract management, and governance of sponsorship and grant review activities.
- Lead cross-functional project management for key Medical Affairs initiatives.
- Drive process excellence and continuous improvement (tools/systems and scalable ways of working).
- Lead conference planning/execution: pre-congress planning, onsite coordination, and post-congress follow-up.
- Coordinate medical meetings/events/congress activities with internal stakeholders, vendors, and external organizers.
- Establish processes/accountability for conference logistics, deliverables, and resource planning.
- Own and oversee the Medical Affairs budget (planning, tracking, forecasting, reconciliation with Finance).
- Lead contract management with vendors/venues/service providers (compliance, efficiency, timely execution).
- Review/oversee sponsorships and grants (governance, alignment, operational follow-through).
- Identify operational/financial risks and implement improvements.
- Adapt to changing priorities; take on additional projects as needs evolve.
Qualifications & Experience
- Bachelorβs degree required; advanced degree preferred.
- Minimum 5 years relevant experience in pharmaceutical/life sciences/medical affairs.
- Event planning/logistics operational support (highly desirable).
- Strong budget management, contract administration, and vendor coordination.
- Proven SharePoint (or similar) digital collaboration platform experience.
- Excellent organizational, communication, and interpersonal skills.
- Ability to work independently with attention to detail and proactive problem-solving.
- Ability to multi-task, manage competing priorities, and travel as required for congress support.
- Team-oriented; professionalism, integrity, and customer service focus.
- Leverages AI to drive program/portfolio/functional performance through prioritization and scaled adoption.
