Responsibilities:
- Coordinate and perform administrative tasks including calendar scheduling, meeting management, and travel and expense management
- Complete assignments requiring advanced analytical ability, independent judgment, creativity, and problem-solving
- Schedule complex, multi-leg, international travel and coordinate trip agendas across multiple stakeholders
- Support the use of team sites and other information sharing tools
- Interact effectively with executives and employees, as well as external parties, on-site and remotely
- Coordinate and/or lead special projects within the organization
Qualifications:
- Education: Required: High School Diploma or equivalent. Preferred: Advanced education or certifications (e.g., Certified Administrative Professional, Project Management Professional Certification)
- Required experience: Minimum 10 years Administrative Assistant experience, including at least 5 years supporting executive-level leaders
- Advanced computer skills: Microsoft Outlook, Word, Excel, PowerPoint, and other internal applications
- Demonstrated experience scheduling and coordinating complex, multi-leg domestic and international travel
- Experience processing visa/passport applications
- SAP experience processing expense reports, purchase orders, and payment requests
- Ability to handle and prioritize many simultaneous assignments
- Experience with event planning and coordination
- Extraordinary attention to detail; outstanding communication and people skills
- Documented experience as a strong performer in current and past positions
- Willingness to travel occasionally in support of local meetings
Preferred:
- Experience with financial and budget tasks
- Experience in or with a commercial marketing division
Location/Work Model:
- Hybrid role; work on site in Rahway, NJ at least 3 days per week
