Position Summary
- Provides administrative support to a few VP, Global Program Leads for Neuropsychiatry and Neuroscience, performing diverse administrative and project-focused duties requiring tact, diplomacy, discretion, and judgment.

Key Responsibilities
- Demonstrate strong interpersonal skills and diplomacy at all management levels.
- Work with minimal supervision; use initiative, strong organization skills, and detailed follow-up.
- Manage calendars, email, and phone; schedule meetings timely to ensure appropriate timelines.
- Support Neuroscience Global Program Leads with heavy calendar management, Global Program Team (GPT) meeting coordination, GPT distribution lists, and GPT SharePoint access.
- Schedule and coordinate internal/external meetings; arrange video/teleconferences as needed.
- Arrange domestic and international travel; process expense reports; complete independent project work.
- Prioritize activities and take prompt action based on departmental objectives and business needs.
- Adhere to travel and expense (T&E) policies to ensure compliance.
- Prepare managers for meetings (e.g., assemble agendas, assist with presentations).
- Maintain professional/technical knowledge via BMS continuous learning modules.
- Proactively manage high-profile internal and external events.
- Build relationships across the HOCT group and with key organizational stakeholders; provide backup support to other administrative assistants as needed.

Qualifications & Experience
- High school degree; some college or degree desirable.
- 10+ years administrative or comparable experience; prior BMS and Executive Associate experience preferred.
- Proficient with Microsoft Suite (Outlook, Word, Excel, PowerPoint); knowledge of BMS systems/processes strongly preferred.
- Strongly desired: Concur Travel and T&E, Ariba/SAP, SharePoint, eSetup, Workday, Room Scheduler.
- Strong organizational skills; close attention to detail and follow-up; ability to balance priorities and resources.
- Positive attitude, high productivity, adaptable to change; able to learn new tools/systems.
- Ability to prioritize; proactively work independently and collaboratively with administrative assistants and external partners across functions and time zones; capable during heavy workloads.
- Ability to multi-task and adapt quickly to competing priorities.
- Ability to work effectively under pressure to meet deadlines.
- Proven track record of collaboration with other administrative assistants to meet business needs/goals.
