Position Summary
Provides administrative support to VP, Global Program Leads for Neuropsychiatry and Neuroscience. Performs highly diverse administrative and project-focused duties requiring tact, diplomacy, discretion, and judgment due to high-level contacts and exposure to confidential material. Must be skilled in prioritizing and multi-tasking while remaining poised in a fast-paced environment.

Key Responsibilities
- Demonstrate strong interpersonal skills and diplomacy at all management levels.
- Work with minimal supervision with strong initiative, organization, and follow-up on details.
- Manage calendars, email, and phone; schedule meetings to ensure appropriate timing.
- Support Neuroscience Global Program Leads with heavy calendar management; own Global Program Team (GPT) meetings, GPT distribution lists, and GPT SharePoint access.
- Coordinate internal/external meeting scheduling; arrange video/teleconferences as needed.
- Make domestic/international travel arrangements; process expense reports; complete independent project work.
- Prioritize activities and take prompt action aligned to departmental objectives and business needs.
- Adhere to travel and expenses (T&E) policies and ensure compliance.
- Ensure manager preparedness for meetings (e.g., assemble agendas, assist with presentations).
- Stay current with BMS continuous learning modules.
- Proactively manage high-profile internal and external events.
- Build relationships across the HOCT group and with key organizational stakeholders; provide backup support for other administrative assistants as needed.

Qualifications & Experience
- High school degree; some college or degree desirable.
- 10+ years administrative or comparable experience; prior BMS and Executive Associate experience preferred.
- Proficient with Microsoft Suite (Outlook, Word, Excel, PowerPoint); knowledge of BMS systems/processes strongly preferred.
- Strongly desired: Concur Travel and T&E, Ariba/SAP, SharePoint, eSetup, Workday, Room Scheduler.
- Strong organizational skills, attention to detail, and follow-up; ability to balance priorities and resources.
- Positive attitude, high productivity, adaptable to change; able to learn new tools/systems.
- Ability to prioritize and work independently and collaboratively with administrative assistants/external partners across time zones and during heavy workloads.
- Ability to multi-task, adapt quickly to competing priorities, and remain focused.
- Ability to work effectively under pressure to meet deadlines.
