Role Summary
Executive Assistant, People and Culture, Global SPC. Location: Morristown, NJ or Cambridge, MA. Reports to the Global Head of People, Specialty Care. Provides anticipatory, white-glove administrative support and acts as an interface to connect the leadership team with the organization, offering exposure to global HR strategy and cross-functional collaboration in Specialty Care.
Responsibilities
- Provides anticipatory, white-glove administrative support
- Serves as confidential liaison on highly sensitive issues to other senior executives and members of the People & Culture team
- Complex calendar orchestration across multiple time zones – proactively manage Outlook calendars, resolving schedule conflicts, and prioritizing meetings
- Travel arrangements – coordinate domestic and international travel needs
- Event coordination – arrange and support both internal as well as off-site meetings and events including venue, A/V, catering, etc.
- Meeting planning, including coordinating on-site and off-site meetings with internal and external stakeholders/customers. Arrange and provide support for meetings
- Provides detailed agendas for international visitors, including Executive Committee members, such as setting up their meetings, hotel and ground logistics
- Anticipates manager’s needs for various commitments and prepares accordingly
- Provides routine administrative support and maintains files according to business standards. Support the consolidation, preparation and/or design of documents, spreadsheets, and presentations
- Expense reports – process expenses accurately and in a timely manner
- Track invoices and purchase orders
- Utilize Workday and other People & Culture tools as needed and requested
Qualifications
- Required: High School Diploma or GED and 10+ years of administrative experience
- Required: Advanced Microsoft Office suite proficiency; WorkDay, Sharepoint content administration; AI agents
- Required: Experience in fast-paced, matrixed organization
- Preferred: Bachelor’s Degree
- Preferred: Experience in project management
- Preferred: Experience working transversally and in a multinational environment
- Preferred: Excellent verbal and written communication skills
- Preferred: High ethical standards, maintenance of confidentiality
- Preferred: Flexibility with time, working across multiple time zones

Education
