Role Summary
Executive Assistant - Enterprise Data & Technology role supporting C-suite and senior executive leadership with high-level administrative tasks, leveraging GenAI and other technologies to optimize operations. Based in Princeton, NJ with a hybrid work model requiring in-office presence three days per week.
Responsibilities
- Manages the delivery of high-impact administrative support for executive leadership, handling complex priorities with agility and precision.
- Maintains highly confidential business and personnel matters with discretion, serving as a liaison between executives and internal/external stakeholders.
- Optimizes executive time by managing calendars, coordinating strategic meetings and conferences, and arranging travel aligned with business priorities.
- Prepares executive-level materials from diverse sources, including Board presentations, strategic reports, and critical communications.
- Supports calendars of events (investor and scientific conferences, high-priority meetings, company-wide initiatives) and collaborates with cross-functional teams on event logistics.
- Manages logistics for on/off-site meetings and keeps all parties informed.
- Handles sensitive communications across departments and external partners to reinforce executive presence.
- Manages expense reconciliation and reporting through Concur and other systems, ensuring accuracy and compliance.
- Provides backup coverage for administrative colleagues and front desk receptionists as needed.
- Collaborates with internal departments to create/manage contracts, statements of work, purchase orders, and service agreements.
- Drives cross-functional initiatives and project support, sharing best practices on GenAI and leading technologies to enhance organizational effectiveness.
- Performs other duties as assigned.
Qualifications
- High school diploma; degree preferred. Approximately 6 years of related administrative experience supporting senior executives, ideally in pharma/biotech. Pharmaceutical terminology knowledge strongly preferred. Equivalent education/experience considered.
- Experience supporting executive-level presentations and communications.
- Proficient with MS Office, including MS CoPilot or similar GenAI tools.
- Experience with professional social platforms (e.g., LinkedIn) for departmental postings.
- Ability to manage diverse tasks independently from start to finish.
- Strong analytical skills and the ability to interpret complex instructions.
- High professional ethics, integrity, and ability to maintain confidential information.
- Ability to manage calendars and multiple projects in a fast-paced environment.
- Strong interpersonal, tact, diplomacy, and judgment; excellent organizational skills with attention to detail.
- Ability to work independently or collaboratively as a team; ability to work under pressure and follow complex instructions.
