Position Summary
The DQS Executive Associate provides administrative and operational support to members of the DQS Leadership Team and their organizations.
Responsibilities
- Execute a broad range of administrative and operational responsibilities in a cross-functional environment
- Anticipate leader/team needs; resolve issues proactively and independently
- Coordinate functional meetings/events end-to-end (organize materials and pre-reads)
- Support communications (draft messages using Copilot/ChatGPT as needed; solicit feedback; compile DQS newsletter content)
- Maintain departmental SharePoint sites and documentation
- Handle confidential/sensitive information with discretion
- Prioritize activities aligned with departmental objectives and business needs
- Coordinate support requests (e.g., IT, Facilities) and ensure timely resolution
- Support project work by monitoring timelines, following up on action items, and organizing materials
- Identify and implement process improvements
- Process expense reports, purchase orders, and other administrative transactions accurately and on time
- Arrange/manage complex domestic and international travel for LT members per T&E policies
Qualifications
- High school diploma required; college coursework/degree preferred
- Minimum 3 years administrative experience required; corporate experience strongly preferred
- Able to operate in highly matrixed environment across levels/functions/time zones with minimal direction
- Advanced Microsoft Office/Teams proficiency (Outlook, Word, Excel, PowerPoint, Teams)
- Familiarity with Copilot/ChatGPT (advanced proficiency a plus)
- Working knowledge of Concur, Ariba/SAP, SharePoint, eSetup/411, eTime, Workday (or equivalents)
- Strong organizational, time management, verbal, and written communication skills
