Role Summary
Executive Assistant to the CFO and other assigned Executives, providing day-to-day executive support in a dynamic startup environment. The role focuses on calendar, travel, board/committee materials, and cross-functional coordination, with an emphasis on facilitating efficient administrative processes and contributing to special projects.
Responsibilities
- Provide calendar, travel and scheduling support for the CFO and lead complex scheduling of Board of Director and committee meetings and investor meetings for the CEO, CFO and CSO
- Responsible for management of Board and Board committee materials in Boardvantage including organization and timely upload of files; partners with GC on management of Board and Board committee scheduling and upload of materials into Boardvantage
- Regularly partner cross functionally with leadership and staff across organization to ensure support is delivered seamlessly
- Arrange domestic and international travel for executives and, with an understanding of each executive’s travel preferences, enable seamless travel solutions
- Prepare timely and accurate expense reports including collecting and organizing receipts
- Coordinate team meetings including scheduling, planning agendas and coordinating meeting logistics
- Arrange off-site meetings and activities including meeting logistics and catering
- Prepare presentation decks, agendas and reports and lead special projects as needed
- Draft and prepare correspondence
- Proactively look for ways to minimize Executive’s time spent on administrative activities
Qualifications
- Bachelor’s degree or equivalent experience with 6+ years of related experience and 3+ years of experience supporting public company C-level executives
- Experience scheduling Board of Directors and investor meetings and coordinating meeting logistics
- Proficiency with Boardvantage or Diligent board management software is required
- Experience in a startup environment is required, Life Sciences experience is preferred
- Advanced proficiency with Microsoft Office suite and similar tools and software
- Excellent verbal and written communication skills

- High organizational and time management skills and ability to multitask

Position Location
This is a remote role; periodic travel to team and company events is required. Preferred location is Boston or Chicago.
