Executive Administrative Assistant β Global Commercial DAS - Oncology (Raritan, NJ)
Key Responsibilities
- Act as a trusted thought partner to VPs, proactively managing administrative and operational demands to support enterprise strategy and leadership priorities.
- Operate with a CEO-office mindset: anticipate downstream impacts, sequence work, and manage trade-offs across business, governance, and external commitments.
- Exercise independent judgment managing time, access, and information flow; escalate only when value-adding or risk-mitigating.
- Provide stability, clarity, and momentum in complex, fast-moving environments.
- Manage complex, high-stakes global calendars; serve as gatekeeper for scheduling and access.
- Own the annual executive cadence (leadership meetings, board-adjacent activity, talent reviews, enterprise forums, conferences, external engagements).
- Coordinate internal/external meetings with a βno surprisesβ standard; ensure executives are prepared with materials, context, and stakeholders.
- Manage end-to-end meeting logistics (agendas, pre-reads, executive-ready presentation materials) and coordinate multi-leader forums.
- Track and coordinate follow-ups, actions, and decisions to ensure accountability and momentum.
- Manage executive email/correspondence; draft responses reflecting executive voice, intent, and priorities.
- Serve as a primary point of contact for SVP/VPs; track action items and follow-ups; interface with senior leaders, internal teams, external partners, and vendors.
- Coordinate internal/external communications and initiatives; oversee office operations (supplies, services, purchasing, vendor coordination).
- Maintain efficient administrative processes and provide backup support.
- Support leadership initiatives and special projects; assist with offsites, visitor management, compliance tracking, committee coordination, and contract/payment processes.
- Support internal communities through coordination and logistics.
- Maintain organized filing systems; record/distribute meeting minutes.
- Coordinate onboarding materials/access/logistics.
- Coordinate executive travel (lodging/transportation) and process/reconcile expenses per policy.
- Plan/execute meetings and events (logistics, A/V, space setup, catering).
- Assist with budget tracking (as required); continuously improve workflows.
- Handle sensitive/business-critical information with discretion; ensure operational reliability.
- Liaise with internal teams, external partners, and vendors to ensure smooth operations.
Qualifications
- Minimum 8 years of experience in executive coordination or senior administrative support in complex, matrixed organizations supporting VP or SVP-level leaders.
- Experience leveraging AI tools to enhance productivity and workflow efficiency.
- Strong proficiency in Concur Travel & Expense, Microsoft Suite, Excel, and PowerPoint.
- Advanced calendar, meeting, and event management experience.
- Exceptional written and verbal communication skills.
- High judgment, discretion, and emotional intelligence.
- Ability to synthesize information, anticipate needs, and operate independently.
- Comfort with ambiguity, shifting priorities, and incomplete inputs.
- Strong organizational discipline with enterprise-level thinking.
