Position Title: Executive Administrative Assistant, Results & Impact (Global Corporate Affairs)

Role Summary
- Provides senior-level administrative and operational support to the Vice President, Results & Impact; trusted partner enabling leadership, enterprise engagement, and execution in a complex, highly matrixed organization.
- Requires exceptional judgment, discretion, independence, and proactive priority management.

Key Responsibilities
- Executive & Leadership Support:
- Manage complex calendars, meeting prioritization, and scheduling across global time zones.
- Serve as a gatekeeper for the VP’s time; sequence and resolve competing demands.
- Coordinate pre-reads, briefing materials, agendas, and follow-ups for internal/external engagements.
- Anticipate needs and resolve issues independently.
- Meeting & Workflow Management:
- Coordinate leadership meetings, working sessions, and cross-functional forums (agenda, materials, notes as needed, action-item tracking).
- Manage end-to-end logistics for high-stakes in-person and virtual meetings (participants, rooms, tech support, follow-ups).
- Ensure timely information flow between the VP, direct reports, peers, and stakeholders.
- Enterprise & Cross-Functional Coordination:
- Liaison between Results & Impact team and GCA leadership/enterprise partners (e.g., Finance, HR, IT) and sector stakeholders.
- Support coordination of enterprise initiatives to align timelines, inputs, and leadership engagement.
- Collaborate with other senior administrative professionals across GCA/enterprise.
- Operational & Administrative Excellence:
- Handle sensitive/confidential information discreetly.
- Manage expenses, purchase order coordination, travel arrangements, and admin processes per enterprise policies.
- Support onboarding and transitions for new team members/vendors/partners.
- Maintain organized records, files, and documentation.
- Continuous Improvement:
- Streamline processes, improve workflows, and enhance executive support practices.
- Support projects with other members of the Results & Impact team.

Qualifications & Experience
- Demonstrated experience supporting senior executives (VP or equivalent) in a complex, fast-paced, matrixed organization.
- Ability to manage ambiguity, exercise sound judgment, and handle highly sensitive information.
- Strong organizational, prioritization, and problem-solving skills; proactive, solution-oriented mindset.
- Excellent communication and interpersonal skills with senior leaders and diverse stakeholders.
- High proficiency in Microsoft 365 (Outlook, Teams, PowerPoint, Word, Excel).
- Ability to work independently while collaborating with peers and leadership.

Benefits (time off)
- Vacation: 120 hours/calendar year
