Commercial Coordinator (Pasadena, CA; in office 5 days/week)
Responsibilities
- Contract Coordination/Vendor Management: Prepare, review, track, and organize contracts and purchase orders; ensure timely execution and compliance; communicate professionally with vendors and KOLs.
- Document Management: Organize and maintain confidential documents, files, and reports for secure handling.
- Travel & Congress Management: Coordinate domestic and international travel and congress/event logistics.
- Meeting Planning: Coordinate meeting logistics (rooms/venues, catering, travel) and prepare agendas.
- Event Planning: Support commercial events, off-site meetings, and team activities.
- Budget Tracking: Track department budget; provide updates; track/manage invoices.
- Calendar Oversight: Schedule meetings/appointments in Outlook with extreme accuracy and prioritization.
- Onboarding: Schedule interviews and request/setup necessary systems for onboarding.
- Special Projects: Support special projects and deliver results within deadlines.
- Team Collaboration: Pitch in as needed, including support at company events and meetings.
Requirements
- 5 years of experience.
- Technical Proficiency: Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Concur, and contract management systems (e.g., Agiloft).
- Strong written and verbal communication skills; ability to interact professionally at all organizational levels.
- Outstanding organizational/time management skills with attention to detail.
- Adaptability to shifting priorities and urgent requests, including outside standard hours.
- Proven ability to handle sensitive information with discretion and integrity.
- Positive, approachable, reliable, problem-solving attitude; resourceful and proactive.
