Associate Medical Affairs Operations Manager

Responsibilities:
- Monitor Medical Affairs project progress toward corporate objectives via process management and strategy reporting.
- Create/manage/optimize workflows and trackers for multistakeholder reporting (project status, budget utilization).
- Partner with GMA Analytics to visualize tracker activity data.
- Provide budget oversight and forecasting for project-based work with Finance.
- Drive execution of Medical events (contracted dinners, receptions, auxiliary events, internal meetings, consultant activities).
- Venue sourcing/contracting; internal approvals/documentation.
- Create/manage event calendar and event trackers.
- Produce event documents (briefing books, after-action reviews).
- Manage operational elements of educational grants program (medical education and patient financial assistance charity grants).
- Serve as Grants Administrator on the Grants Review Committee (GRC).
- Plan/manage monthly GRC meetings; prepare materials; track/report progress.
- Oversee grants/sponsorship budget (forecasting, reconciliation) and process grants with Finance to ensure audit readiness.
- Serve as Super Administrator for the grants portal (Cyber Grants): configuration, user training/permissions, training materials.
- Lead smallโ€“medium initiatives (e.g., software implementation, Patient Voices Program): plans, timelines, meetings, risk/escalation.
- Support GMA departmental budget reconciliation/forecasting/expenditure tracking.
- Identify and execute process optimization opportunities.
- Maintain basic knowledge of therapeutic areas under study.

Minimum Requirements:
- Bachelorโ€™s degree in scientific/related discipline (preferred).
- 5+ years coordinating/managing programs; life sciences Medical Affairs experience.
- Experience with grants/sponsorship portals (VisionTracker, iEnvision, or similar).
- Strong communication/organization; detail-oriented document review.
- Ability to multitask, work independently, meet deadlines; sense of urgency.
- Microsoft Office (Word/Excel/Outlook/PowerPoint); SharePoint and Veeva.
- Project management tools (SmartSheet, MS Project, or similar).
- Travel up to 25%.
