Role Summary
VP/Senior Director, Medical Operations. Reporting to the Global Head of Medical Affairs, this role provides strategic project management expertise and oversight to support the medical affairs team in project management, independent medical education, ISS, field medical excellence and financial accountability with a focus on process improvement. Acts as a central point of coordination and leadership to ensure seamless communication and effective collaboration within Medical Affairs, driving strategic initiatives, managing critical projects, and improving efficiency and effectiveness of the medical affairs team.
Responsibilities
- Serve as strategic and operational partner to the Medical Affairs Leadership Team (MALT) and other senior leaders, ad hoc, within the organization.
- Support the team on developing short- and long-term priorities aligned to the Medical Objectives.
- Partner with functions within medical affairs to enhance decision making and delivery, facilitate communication, and drive timelines to keep consultations, studies and projects on schedule.
- Organize efforts across the team to provide timely and reliable information to support decision making, planning and communications (e.g., IIS, Grants, IME prioritization, vendor assessment).
- Oversee day-to-day operations within Medical Affairs, ensuring smooth and efficient execution; provide insights on strategic decisions and operational challenges with a focus on short-term planning.
- Facilitate functional goal setting and track progress, results, and performance.
- Identify areas for process/policy improvement and develop plans to streamline the Medical Affairs operating model.
- Partner with finance to establish budget templates and coordinate forecasting and budget activities including POs and accounts payable; monitor budgets and resources and liaise with finance on financial impact of initiatives.
- Support HR partnership to develop and analyze headcount resources within the organization.
- Plan and implement Medical Affairs Leadership Team (MALT) meetings, agendas, content, and actions to maximize value.
- Foster a high-performance culture and talent development within MALT; support executive deliverables (CEO updates, Board materials).
- Collaborate with R&D and other teams to align on organizational plans and activities.
- Oversee adherence to Medical Affairs SOPs and coordinate with Quality to address compliance issues.
- Develop and track metrics for Medical Affairs; establish cross-functional project plans and provide timely progress reporting.

Qualifications
- BachelorβΓΓ΄s degree required; advanced degree preferred.
- 5βΓΓ¬8 years of experience in a project management role with at least 5 years of direct experience in medical affairs operations or related skills.
- In-depth knowledge of planning, management, and oversight of medical affairs activities; PMP or other project management certification a plus.
- Strong knowledge of Medical Affairs concepts and operational practices.
- Proven experience managing medical affairs vendors; track record of handling multiple projects/programs concurrently.
- Proficiency with project management software and tools, including Smartsheet.
- Ability to represent Medical Affairs project management activities within a broader Project Management team and cross-functional settings.
- Experience in strategic planning and execution, process improvement, and developing/implementing procedures.
- Ability to design, implement, and lead multiple projects with deadlines, responsibilities, and progress monitoring.
- Strong analytical, problem-solving, planning, prioritization, and organizational skills.
- Excellent interpersonal, written and verbal communication skills.
- Ability to work independently and solve problems; travel 10βΓΓ¬20% required.
