Role Summary
VP/Senior Director, Medical Operations. Reporting to the Global Head of Medical Affairs, this role provides strategic project management oversight to support the medical affairs team in project management, independent medical education, ISS, field medical excellence, and financial accountability with a focus on process improvement. Acts as a central point of coordination and leadership to ensure seamless communication and effective collaboration within Medical Affairs. Partners with cross-functional leaders to align organizational plans and activities.
Responsibilities
- Serve as strategic and operational partner to the Medical Affairs Leadership Team (MALT) and other senior leaders, ad hoc, within the organization.
- Support the team on developing short- and long-term priorities aligned to the Medical Objectives.
- Partner with different functions within medical affairs to enhance decision making and delivery, facilitate communication and creation, maintenance, and drive of timelines to keep consultations, studies and projects on schedule; this includes overall project planning and specific deliverables during medical affairs initiatives.
- Organize efforts across the team to provide timely and reliable information to support decision making, planning and communications (e.g., IIS, Grants, IME prioritization, vendor assessment).
- Oversee day-to-day operations within Medical Affairs, ensuring smooth and efficient functional execution; provide insights and guidance on strategic decisions and operational challenges; focus on immediate and short-term (<2 years) planning.
- Facilitate functional goal setting, track progress, results, and performance.
- Identify areas for process/policy improvement and develop recommendations to streamline the Medical Affairs operating model.
- Partner with finance to establish budget templates and coordinate forecasting and budget activities including purchase orders and accounts payable; monitor budgets and resources.
- Support HR in headcount planning and resources analysis.
- Plan and implement Medical Affairs Leadership Team (MALT) meetings, agendas, content, and actions.
- Promote a high-performance culture and talent development within MALT; support executive deliverables to the CEO and Board as needed.
- Collaborate with R&D and other teams to ensure alignment on organizational plans and activities.
- Oversee tracking and adherence to Medical Affairs SOPs and work with Quality to close compliance issues.
- Develop and track metrics for Medical Affairs and maintain cross-functional project plans with timely progress reporting.

Qualifications
- BachelorβΓΓ΄s degree required; advanced degree preferred.
- 5-8 years of experience in a project management role with at least 5 years of direct experience in medical affairs operations or related skills.
- Knowledge of planning, management, and oversight of activities and deliverables in Medical Affairs; PMP or other project management certification is a plus.
- Strong knowledge of Medical Affairs concepts and operational practices.
- Experience managing medical affairs vendors and multiple projects/programs concurrently.
- Proficiency with project management software and tools, including Smartsheet.
- Ability to represent Medical Affairs project management at cross-functional levels.
- Experience with strategic planning, process improvement, and procedures development.
- Ability to design, implement, and lead multiple projects with deadlines and delegated responsibilities.
- Strong analytical, problem-solving, planning, prioritization, and organizational skills.
- Excellent interpersonal, written, and presentation skills; ability to work independently.
- Travel requirement: 10βΓΓ¬20%.
