Role Summary
Reporting to the Executive Director of HCP and Patient Marketing, the Senior Manager, Marketing Meetings and Events Planning will lead the strategic planning and flawless execution of high-visibility, complex meetings and events that support brand and organizational objectives. This role serves as a trusted partner to senior leaders and cross-functional stakeholders, providing proactive guidance, clear communication, and rigorous project management from concept through execution.
The successful candidate will own multiple meetings and events while collaborating with preferred agency and logistics partners, ensuring all activities are delivered on time, on budget, and in full compliance with internal policies. This highly visible role requires exceptional attention to detail, strong executive presence, and the ability to anticipate needs, manage risk, and solve problems in real time.
This role is based in our Lexington, MA office. Office-based employees follow a hybrid schedule (4 days in office, 1 day remote).
Travel domestically up to approximately 30% of the time, as business needs require.
Responsibilities
- Own end-to-end planning and execution of complex, high-profile meetings and events, ensuring alignment with business objectives, seamless delivery and adherence to internal compliance requirements, policies and procedures.
- Serve as a primary point of contact and strategic advisor to senior leaders and Business Owners, proactively communicating plans, risks, timelines, and recommendations.
- Provide strategic direction and oversight to agency and logistics partners on an event-by-event basis, holding vendors accountable to scope, timelines, budget, and quality.
- Lead cross-functional planning efforts by defining roles, responsibilities, deliverables, and timelines across internal teams and external partners.
- Manage multiple concurrent projects with precision, applying strong project management discipline to prioritize work, mitigate risks, and resolve issues.
- Develop, manage, and track complex meeting and event budgets; guide vendors in managing multiple budgets with varying timelines and deliverables.
- Identify and resolve day-to-day operational and logistical challenges, escalating issues appropriately and timely with proposed solutions.
- Build and maintain strong, collaborative relationships with internal stakeholders and external suppliers, fostering trust and long-term partnerships.
Qualifications
- Required: Bachelor’s degree and 5+ years of experience in meeting and event planning, project management, or related discipline.
- Required: Experience supporting complex, multi-stakeholder meetings and events in a corporate or regulated environment.
- Preferred: Biopharmaceutical industry experience.
- Required: Experience with Veeva Vault Promo Matsis. Preferred: CMP, supplier and vendor management experience.
- Required: Demonstrated expertise in corporate meeting and event planning, with a strong track record of executing complex, high-visibility programs.
- Required: Exceptional project management, organizational, and time-management skills; ability to manage multiple priorities simultaneously with attention to detail.
- Required: Strong executive presence with the ability to communicate clearly, confidently, and professionally with senior leaders and cross-functional teams.
- Required: Proven ability to guide negotiations of venue and vendor contracts in partnership with legal and contracting teams to achieve optimal financial and operational outcomes.
- Required: Excellent verbal and written communication skills; comfortable presenting in group and one-on-one settings across all levels of the organization.
