Job Description
We are searching for a Sr. Executive Administrative Assistant. This hybrid role can be located in Raynham, MA; New Brunswick, NJ; West Chester, PA; or Palm Beach Gardens, FL and will report into the DePuy Synthes Chief Information Officer.
Key Responsibilities
- Act as a trusted thought partner to SVP/VPs; proactively manage administrative/operational demands to support enterprise strategy.
- Operate with a CEO-office mindset; anticipate downstream impacts and manage sequencing/trade-offs.
- Exercise independent judgment in managing time, access, and information flow; escalate only when needed.
- Manage complex, high-stakes calendars across global time zones; serve as gatekeeper for scheduling/access.
- Own annual executive cadence (leadership meetings, board-adjacent activity, talent reviews, enterprise forums, conferences, external engagements).
- Coordinate internal/external meetings; ensure executives are fully prepared; manage logistics (agendas, pre-reads, exec-ready materials).
- Draft executive communications/correspondence; serve as primary point of contact for SVP/VPS and track action items.
- Oversee office operations (supplies, services, purchasing, vendor coordination) and provide admin process backup.
- Support offsites/visitor management/compliance tracking/committee coordination and contract/payment processes.
- Maintain filing systems; record/distribute meeting minutes; coordinate onboarding materials/access/logistics.
- Coordinate travel/lodging/transportation; process and reconcile expenses per policy.
- Plan and execute meetings/events (A/V, space setup, catering) and handle sensitive information with discretion.
- Liaise with internal teams, external partners, and vendors to ensure smooth operations.
Required Qualifications
- Bachelorβs degree
- Minimum 8 years executive coordination or senior administrative support in complex, matrixed organizations supporting VP/SVP-level leaders
- Experience leveraging AI tools to enhance productivity
- Proficiency in Concur Travel & Expense, Microsoft Suite, Excel, and PowerPoint
- Advanced calendar/meeting/event management
- Exceptional written and verbal communication
- High judgment, discretion, emotional intelligence; ability to synthesize/anticipate needs and operate independently
- Comfort with ambiguity and shifting priorities
- Strong organizational discipline and enterprise-level thinking
