Sr. Administrative Assistant (Hybrid) β Horsham, PA
Per J&J Flex Policy: Work in the Horsham, PA office 3β4 days/week and work from home 1β2 days/week.
Responsibilities:
- Provide direct administrative support to 4 Sr. Directors in Immunology, Medical Affairs (calendar management, travel/expense coordination, and initiatives led by the Sr. Director).
- Lead planning and execution of large department meetings/events, leadership team activities, and external events.
- Coordinate recruiting activities (internal/external candidates), including travel coordination, in-person/remote meetings, and expense processing.
- Support onboarding/offboarding transitions for team members.
- Coordinate and support team onsite/offsite meetings and volunteer events.
- Maintain department materials (organization charts, distribution lists, conference rooms) and manage related repositories (SharePoint).
- Use HR systems, productivity tools, and portal technology (e.g., Workday, SharePoint, ZOOM, MS Teams, GlobalView, AskGS, IRIS). Familiarity with eMarketplace preferred.
- Collaborate with franchise teams and other administrative staff to ensure smooth operations. May perform other duties as assigned.
Required Qualifications:
- High school diploma or Associateβs degree.
- 4+ years of administrative or similar experience (preferably pharmaceutical).
- Expert proficiency in Microsoft Outlook, PowerPoint, Excel, and Word.
- Strong proficiency with productivity/portal technologies (Workday, GlobalView, MS Teams, OneNote, SharePoint).
- Excellent verbal/written communication and interpersonal skills.
- Meticulous attention to detail; strong organization.
- Urgency and professionalism.
- Experience interacting with senior-level management while maintaining confidentiality.
- Ability to prioritize and ensure accurate follow-up.
- Self-starter/ownership; proactive involvement.
- Ability to manage complexity, work independently, and adapt in a fast-paced environment.
Preferred Qualifications:
- Bachelorβs degree.
- Experience with Microsoft OneNote, IRIS, and Ariba.
