Role Summary

Specimen Processing Clerk (2nd Shift) at Caris Life Sciences. Responsible for supporting the department with clerical and ancillary duties in creating and accessioning clinical cases for patient output, upfront processing of patient samples, data entry into the LIS, labeling, handling discrepancies, and activating cases. Works cross-functionally to ensure quality and compliance with CLIA, CAP, and NYS regulations under the supervision of the supervisor.

Responsibilities

  • Perform video receipt of incoming specimens and organize specimens and documents for processing.
  • Create patient cases in the LIS, enter specimens, label samples, attach documents, and resolve discrepancies.
  • Update LIS with patient information and verify accuracy of case data and labeling.
  • Quality control to ensure information matches patient paperwork; audit data in LIS.
  • Open/close discrepancies and coordinate with Customer Support to obtain documentation.
  • Identify and document pathology diagnoses in patient cases and note discrepancies if non-testable/non-malignant.
  • Handle special processing requirements for certain pathology accounts.
  • Perform first QC of data entry points.
  • Activate cases, print slides for microtomy, and order H&E tests.
  • Transport cases between departments as needed (Lab Operations, IHC, PA).
  • _File cases in activation-date order across staging areas.
  • Collaborate with departments including Customer Support, Billing, IHC, Lab Operations, Pathology Assistants, Pathologists, and Reporting.
  • Manage lab queues and audit daily auto-generated reports for quality.
  • File, track, retrieve, and maintain accurate records; preserve diagnostic viability and correct labeling.
  • Document case activities in the LIS and SharePoint; monitor department email and respond to inquiries promptly.
  • Operate, maintain, and troubleshoot equipment (slide printers, label printers, scanners, office equipment).
  • Handle, store, and send out patient documentation appropriately.
  • Utilize resources (SOPs, job aids, peers, trainers, leaders) to overcome challenges.
  • Assist with other related duties and special projects; perform other duties as assigned.

Qualifications

  • Required: High school diploma or equivalent.
  • Required: 0–1 year of experience.
  • Required: Proficient in Microsoft Word, Excel, Outlook; general internet proficiency for business use.
  • Required: Availability to work 2pm–12:30am Tuesday to Saturday.

Preferred Qualifications

  • Previous medical field or laboratory experience.
  • College-level coursework in a scientific discipline.

Skills

  • Attention to detail; data entry accuracy; ability to manage multiple tasks; strong communication and cross-functional collaboration.
  • Proficiency with Laboratory Information System (LIS) concepts and basic laboratory workflows.

Education

  • Not specified beyond high school diploma or equivalent; college coursework preferred for scientific disciplines.

Physical Demands

  • Prolonged computer use; operate standard office equipment.
  • Visual acuity and analytical ability to distinguish detail; color discrimination test may be required.
  • Manual dexterity for handling laboratory equipment and sterile techniques as needed.
  • Sitting or standing for long periods; repetitive motions; ability to lift up to 30 pounds.
  • Potential exposure to fumes, biohazards, and chemicals in lab environment; handling blood-borne pathogens may be required.
