Operations
Senior Specialist, Publication Operations provides operational support and expertise to the Global Scientific Publications (GSP) Team, supporting GSP-managed congress activities and end-to-end vendor management.
Responsibilities:
- Support vendor and contracts for GSP (creation, tracking, billing) to ensure accuracy for monthly budget forecasts.
- Train vendors on policies/procedures; maintain vendor relationships (health checks, billing timelines, record completion).
- Perform invoice analysis and budgetary reconciliation across GSP.
- Interpret data, identify issues, cost savings, and adjustments through LBE meetings.
- Compile and report metrics/KPIs; prepare routine and ad hoc reports for financial/budget tracking.
- Create yearly congress calendars/trackers; create/manage QR codes for scientific posters and facilitate poster printing and shipping.
- May support routing IIS, PAA, LP, and other publications through the publication system for 1070 approval.
- Coordinate with management and internal functions (Corp Accounts Payable, Finance, Outsourcing, GMO Project Managers, and GSP).
Qualifications:
- Required education: BA/BS (prefer Science, Healthcare, Business, or Project Management).
- Required experience: 2+ years in data entry, clerical, document specialist, or reconciliation roles.
- Preferred: 4+ years; experience/training in project/process management, publications management, medical/technical writing, Datavision software, compliance.
- Detail-oriented; self-directed; strong organizational and oral/written communication skills.
- Comfortable with hard deadlines and working with senior internal/external customers.
- Critical thinking and process improvement mindset.
- Ability to distinguish general vs. confidential/sensitive information.
- Proficient in Microsoft Office; SharePoint/database and internet tools; electronic file storage/retrieval.
