Responsibilities:
- Provide comprehensive administrative support to the Vice President of Law (DROC), DROC attorneys, and Corporate Sustainability Team; serve as central point of coordination.
- Proactively manage complex calendars, resolve scheduling conflicts, and ensure meeting readiness.
- Coordinate domestic/international travel (air, hotel, ground, itineraries, changes).
- Prepare/process expense reports and administrative submissions per requirements.
- Plan and coordinate meetings (agendas, pre-reads, attendees, tech, facilities, catering, follow-ups).
- Maintain global time zone awareness and coordinate across regions.
- Review/prioritize communications and pending approvals; ensure timely follow-through.
- Compose/edit/proofread/format correspondence, presentations, reports, and legal documents with high accuracy.
- Organize/maintain electronic files and collaboration spaces (SharePoint, Teams) for access/version control/confidentiality.
- Coordinate legal/business projects; track milestones and action items.
- Support budget tracking, accruals, purchase orders, invoices; coordinate with Finance/Law Ops/outside counsel/vendors.
- Support contract administration (routing, signature coordination, status tracking, executed agreements records).
- Conduct factual research as directed.
- Act as liaison with internal and external stakeholders; maintain strict confidentiality.
- Backup support for other administrative professionals and ad hoc priorities.
Basic Qualifications:
- Associate’s degree + 4 years administrative support experience, or High school diploma/GED + 6 years.
Preferred Qualifications/Skills:
- Experience supporting a Vice President/senior executives; multiple attorneys/leaders.
- Corporate legal department/life sciences/regulated/professional services experience.
- Strong organization, time management, discretion, and judgment.
- Advanced Microsoft Outlook/Word/PowerPoint/Excel/Teams/OneDrive/SharePoint and ability to learn systems (ChatGPT proficiency preferred).
- Excellent written/verbal communication; proofreading/editing/formatting.
- Project coordination, attention to detail; relationship building across functions/geographies.
- Knowledge of legal terminology, contracting processes, legal ops, budget management, and outside counsel/vendor admin.
