Responsibilities
- Serve as primary administrative point of contact for senior leaders; screen, route, prioritize, and escalate requests; handle confidential/sensitive/time-critical information.
- Proactively manage complex, frequently changing executive calendars in Microsoft Outlook across time zones/leaders/sites; resolve conflicts and ensure timely meeting preparation (materials, locations, technology).
- Arrange domestic/international travel independently using Concur; prepare/process expense reports; coordinate reimbursement and resolve time-sensitive travel issues.
- Coordinate end-to-end contracting/procurement administration for consultant and vendor agreements via Coupa and Icertis (intake, routing, approvals, signatures, POs, SOWs, invoicing, payment status, record maintenance); partner with Legal/Procurement/Finance.
- Plan and coordinate meetings, conferences, off-sites, dinners, and external engagements (venue, attendee comms, catering, transportation, AV/tech, on-site logistics, contracts/payments/expense reconciliation).
- Provide executive preparedness and document support (agendas, pre-reads, follow-ups; prepare/proofread/format/distribute presentations and correspondence).
- Support team/department operations (communications, shared calendars/resources, onboarding/offboarding, facilities/supplies) and cross-functional administrative projects; provide backup coverage.
Qualifications & Skills
- Experience supporting multiple senior leaders (preferably VP level) in a fast-paced environment.
- Experience in biotech/pharma/healthcare/government affairs/public policy or other highly regulated settings.
- Experience with procurement/contracting/vendor administration and invoice workflows; Concur/Coupa/Icertis or ability to learn.
- Advanced Microsoft 365 (Outlook, Teams, Word, PowerPoint, Excel) plus strong proofreading/written communication.
- Ability to use AI-enabled productivity tools (e.g., Microsoft Copilot) with sound judgment/compliance.
- Strong organization, initiative, judgment, problem-solving, and ability to manage multiple priorities accurately under pressure.
- Education: typically high school/secondary education; Experience: typically 2 years of administrative experience or equivalent.
