Role Summary

Senior Administrative Assistant for Takeda Pharmaceutical in Cambridge, MA. Reports to the Vice President of the Dermatology Franchise and provides comprehensive administrative and executive support by managing office operations, coordinating complex tasks, overseeing calendars and meeting logistics, and facilitating strategic communications. This role involves handling confidential information, supporting senior leaders, and contributing to operational excellence.

Responsibilities

  • Coordinate executive calendars, schedule and set up meetings, and manage meeting logistics using Microsoft Outlook
  • Book and coordinate domestic and international travel, including flights, hotels, transportation, and itineraries
  • Manage office supplies efficiently, ensuring all resources are available for smooth office operations
  • Handle multiple tasks simultaneously with precision under minimal supervision
  • Input data accurately into digital systems, maintaining integrity and confidentiality of information
  • Process invoices and manage budget allocations with attention to detail and accuracy
  • Communicate effectively over the phone, providing clear information and routing calls appropriately
  • Create and deliver engaging presentations, utilizing strong communication skills to influence and inform audiences
  • Organize tasks and priorities effectively, ensuring timely completion of assignments
  • Maintain professionalism in all interactions, upholding the company's reputation and values
  • Manage time efficiently, meeting deadlines and managing workload effectively
