Responsibilities:
- Serve as a primary administrative resource for the Commercial Operations leadership team, anticipating needs and ensuring efficient day-to-day operations.
- Support contract administration by routing agreements, tracking approvals, and maintaining documentation.
- Manage complex calendars for senior leaders, prioritizing schedules and proactively resolving conflicts.
- Partner with other administrative professionals to coordinate senior leadership meetings and planning.
- Provide meeting logistics support (scheduling, catering, audiovisual coordination, room setup, and meeting materials).
- Coordinate onboarding activities for new field-based employees.
- Prepare, submit, and reconcile expense reports.
- Coordinate travel in accordance with company policies.
- Plan and coordinate internal meetings, off-site events, and regional conferences with Corporate Meetings and cross-functional teams.
- Prepare and distribute agendas, presentations, correspondence, reports, and other business documents.
- Maintain departmental records, organizational charts, and shared resources.
- Support departmental projects and special initiatives as needed.
Preferred:
- Advanced Microsoft Office proficiency (Outlook, Word, Excel, PowerPoint, Teams, SharePoint).
- Experience managing calendars, travel, meetings, and administrative operations.
- Strong organization and project coordination; can manage multiple priorities and meet deadlines.
- Excellent written, verbal, and interpersonal communication.
- Strong attention to detail; accuracy and follow-through.
- Sound judgment and ability to maintain confidentiality.

- Relationship-building across all organization levels.
- Preferred: contract administration, expense management, and document management systems.

Compensation/Benefits (as stated):
- Annual base salary: $85,000โ$100,000; eligible for annual performance pay bonus; competitive benefits package.
Work Model (as stated):
- Hybrid: 60% on-site (Waltham, MA office), 40% remote; at least 3 days/week on-site; not eligible for fully remote work.
