Role Summary

Senior Administrative Assistant. Supports the NPS Center of Excellence with full administrative support to one Head and ad-hoc support to the Head's direct reports. Requires strong prioritization, follow-up, and proactive problem-solving in a fast-paced environment. Located at the East Hanover site with 20% travel; remote work not available. Local candidates only.

Responsibilities

  • Heavy calendaring, travel arrangements, processing expense reports, coordinating internal and external meetings, and writing leadership team meeting minutes with action items. Proficient in technologies such as SharePoint, Adobe Connect, Skype Webex, and video conferencing.
  • Maintain confidentiality and securely handle sensitive material with all levels of management.
  • Light project management to align regional account priorities.
  • Create and prepare routine presentations, memos, and reports for the department.
  • Coordinate with HR/Staffing to schedule interviews; manage updates to distribution lists and organizational charts.
  • Proficient in administrative support skills, office management setup; experience with Req to Pay, Concur, MS Office.
  • May compose correspondences and communicate information on behalf of the manager.
  • Lead admin within the department; demonstrate excellent interpersonal and written/oral communication and the ability to influence and improve admin processes.

Qualifications

  • High School Diploma required; Bachelor's degree or equivalent 4-year university degree preferred.
  • 7+ years of Administrative Assistant experience.
  • Experience supporting Associate Director level and above roles.
  • Ability to prioritize duties while supporting multiple executives.
  • Excellent planning and organizational skills.
  • Proficiency with Outlook, Word, Excel, PowerPoint; experience with Adobe Acrobat and managing multiple document formats including PDFs.
  • Strong ability to build collaborative relationships; superior interpersonal skills and customer focus.

Preferred

  • Experience supporting Marketing/Brand/Specialty or HQ-focused groups.
  • Ability to navigate a matrix organization.
  • Resourceful, able to obtain information from intranet and learn new software quickly.
  • Understanding of organizational policies and procedures.
  • Ability to manage and prioritize calendar requests to optimize daily, weekly, and monthly schedules.
