Role Summary

Receptionist I, Dallas, TX (On-Site) — office/clinic-based role interacting with healthy volunteer participants in a fast-paced, team-oriented environment within a Clinical Research Organization.

Responsibilities

  • Ensure that all calls are answered following the Company guidelines, providing a professional and courteous telephone service and handling calls efficiently.
  • Provide a professional courteous reception service to all volunteers and visitors.
  • Use of the computerized security access system to update and monitor security access cards.
  • Log in arriving clients and visitors, issue passes as necessary, inform the host of arrivals, log out on departure, and return passes to reception.
  • Book taxis for clients and visitors where appropriate.
  • Prepare screening packs for volunteers for the following day.
  • Photocopy volunteer IDs and place them into screening packs; ensure a photograph is included (or take one and print it).
  • Make up training folders for new starters as required.
  • Prepare CVs for new starters and reminders to staff for renewals; QC returned CVs before filing.
  • Forward incoming faxes and maintain Car Park Database.
  • Perform all other duties as needed or assigned.

Qualifications

  • Required: 2 - 3 years related experience.
  • Required: Knowledge of computer programs – MS Word and Excel.
  • Preferred: May require some flexibility in working hours.

Skills

  • Customer service and front desk/administrative support.
  • Strong organization and multitasking abilities in a fast-paced setting.
  • Proficiency with security/access systems and clerical tasks.
  • Effective communication and teamwork skills.

Additional Requirements

  • Physical: Ability to work upright or stationary for 6-8 hours per day; occasional lifting up to 15-20 lbs; repetitive hand movements for equipment operation.
  • Environment: Comfortable working in an environment with strict adherence to study protocols and timelines.
