Role Summary

The Manager, Regional Medical Affairs Operations will lead the effort to identify and operationalize systems, programs, and processes that enable efficient and compliant operations for Regional Medical Affairs. This role will closely collaborate with Manager, Medical Operations, members of the Regional Medical Affairs Team, and key cross-functional stakeholders vested in operational excellence. This role is accountable for implementation and execution of operational capabilities in partnership with the Regional Medical Affairs team, including identified key projects, events, and program team initiatives.

Responsibilities

  • Operational Excellence
    • Accountable for managing assigned systems, administrative tasks, and reporting requirements that ensure efficient and compliant processes for field medical engagements in partnership with Medical Affairs leadership and other key stakeholders
    • Serve as a champion for the team in onboarding, training, and change management efforts for regional medical affairs team as related to CRM and other engagement platforms in partnership with key internal leads and stakeholders
    • Support and implement changes and new ways of working with both internal and external processes, as assigned
    • Support onboarding of new employees and their training schedule in partnership with Medical Affairs
    • Support processes and operations to ensure efficient and effective communication channels in the Medical Affairs Team
    • Participates in department level meetings, and attends external medical and/or professional meetings as identified

  • Project Management & Organization
    • Support assigned project teams via project management, administrative duties, and operational excellence in partnership with assigned Medical Project Team Lead
    • Collaborate with Medical Affairs Leadership, including Medical Operations to design, develop, and execute assigned medical projects from initiation to close, incl. scoping project requirements, logistics and operational management
    • As assigned, support complex meeting planning and logistics for Regional Medical Affairs team
  • Cross-functional Collaboration
    • Develop and maintain a strong working relationship and network with other Operational Excellence roles within Medical Affairs and Commercial Operations, regularly exchange best practices and identify areas that could be made more efficient
    • As identified, supports Medical Affairs in activities related to assigned advocacy and professional engagements
    • As assigned, support Medical Operations in administration of contracts, invoicing, and reconciliation.
    • Proactively assists with special projects as needed
    • Coordinates complex meeting planning and logistics and other identified support across the Medical Affairs team

Qualifications

  • Bachelor’s Degree required, or relevant healthcare/life sciences experience may be substituted
  • Minimum of 3-5 years of relevant experience, preferably in the pharmaceutical or medical industry
  • Project Management certification or credentialing is preferred
  • Strong skills and experience with Adobe and Microsoft Office Suite, including Word, Excel, and Power Point and other features
  • Experience with Medical Affairs/Regional Medical Affairs systems, such as Veeva, CRM platforms, Within3, Insights, SharePoint or similar systems
  • Understanding and familiarity with Regional Medical Affairs workflow (KOL engagements, insight reporting, and systems utilization)
  • Competencies:

    • Ability to translate field needs into actionable process improvements and data-driven reporting frameworks
  • Working Conditions: Position may require periodic evening and weekend work, as necessary to fulfill obligations. Infrequent overnight travel may occur. Travel required 10%. This is a hybrid role based in Xeris’ Chicago office and a minimum of three days per week in the office is required. On-site requirement may be changed at management’s discretion.
