Role Summary:
Executive Coordinator in Research provides high-level administrative and operational support to the Head of Research Strategy & Operations (RS&O) and the RS&O leadership team. Supports complex scheduling, communications, information flow, and smooth execution of enterprise initiatives.
Responsibilities:
- Manage complex executive calendars, travel, and correspondence.
- Organize and support leadership meetings, events, and workshops/offsites (agenda/content prep, note-taking using AI tools, logistics).
- Prepare/edit presentations, reports, and materials; conduct research and compile data to support decision-making.
- Process purchase orders, invoices, and expense reports; track expenses per policy.
- Coordinate across Research/R&D/enterprise admin partners to support leadership.
- Contribute to the Research Admin Community of Practice (CoP) and support Research-wide initiatives.
- Stay current on policies/procedures; act as a knowledge source.
- Support onboarding/offboarding logistics and employee development programs.
- Identify opportunities to standardize processes and share best practices.
- Support special projects as needed; mentor administrative colleagues.
Functional Area Coordination (RS&O):
- Prioritize leadership time for strategic decisions.
- Coordinate global leadership meetings and working sessions.
- Support planning/logistics for workshops, meetings, and offsites; prepare briefing materials.
- Support transformation, continuous improvement, and change initiatives.
Minimum Requirements:
- High school diploma/GED required; Associate/Bachelorβs preferred.
- 8+ years relevant experience (preferably BioPharma); experience supporting senior leaders preferred.
- Onsite presence minimum 3 days/week.
Skills/Competencies:
- Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams, SharePoint).
- Clear written/verbal communication; strong organization and prioritization.
- Ability to work independently, manage multiple priorities, and handle confidential/sensitive information.
- Proactive, adaptable problem-solving; attention to detail; teamwork with global stakeholders.
Benefits/Compensation:
- U.S. hourly wage range: $37.55β$58.97.
