Objectives/Purpose:
- Support the Global Head of EHSS by managing their calendar and activities to maximize efficiency and value, and assist with administrative, finance, and operational functions.
Accountabilities:
- Provide comprehensive administrative support and coordination to the Global Head of EHSS.
- Schedule meetings, calls, and interactions based on leader/function priorities.
- Organize large events (Team and Leadership).
- Manage specialty documents and correspondence (agendas, reports, emails, presentations).
- Coordinate communications with internal/external customers; direct people to appropriate resources.
- Build cross-department networks to answer questions and accomplish responsibilities.
- Handle responsibilities with confidentiality.
- Arrange travel and complete expense reports on time.
- Support Purchase Order (PO) process: prepare vendor documentation, submit payment requests into the accounting system, and respond to accounts payable/payee inquiries.
- Use Microsoft Outlook, Word, Excel, and PowerPoint to track, document, and report data.
- Research solutions and respond to email/phone inquiries with minimal input.
- Initiate and participate in improvement processes.
- Own and execute onboarding for new team joiners and internal transfers.
Education/Experience & Qualifications:
- High school diploma/GED required; Associate or Bachelorβs preferred.
- Minimum 8 years relevant work experience (or equivalent training/experience); some industry experience preferred.
- Advanced Microsoft Outlook, Word, Excel, PowerPoint; strong PC literacy.
- Excellent verbal and written communication.
