Responsibilities:
- Own and manage a complex calendar for the Chief Regulatory & Safety Officer; assess meeting requests, resolve conflicts, and ensure timely context/materials.
- Coordinate recurring/ad hoc GRAPS leadership, extended leadership, all-employee, and cross-functional meetings (invitations, agendas, pre-reads, logistics, attendance tracking).
- Compile and quality-check briefing packages, presentations, and agendas; track decisions/actions and follow through.
- Plan complex domestic/international travel; prepare travel briefs and handle last-minute changes.
- Prepare and submit expense reports/corporate-card documentation; coordinate off-sites and special events.
- Serve as a discreet first point of contact; draft/edit executive communications; handle sensitive information per records expectations.
- Maintain records/workspaces; manage purchase requisitions/orders/contracts/invoices and onboarding/offboarding logistics; support selected special projects and process improvements.
Qualifications/Skills:
- Bachelorβs in business administration/communications (or equivalent experience).
- Typically 8+ years progressively responsible administrative experience supporting senior executives/leadership in a global organization.
- Strong preference: pharmaceutical/biotech/healthcare or other highly regulated environment.
- Demonstrated ability to manage complex calendars, global travel, confidential information, executive meetings, expenses, and competing priorities.
- Advanced Microsoft Outlook/Word/PowerPoint/Excel/Teams/SharePoint; strong English communication and executive presentation skills.
- Exceptional discretion, integrity, judgment, proactive ownership, attention to detail, and ability to simplify complexity.
