General Summary:
- The Executive Assistant provides specialized, independent administrative/business support to 2-3 Vice Presidents supporting multi-therapeutic areas.
Responsibilities:
- Serve as primary support for a Sr. Vice President, independently handling a full range of administrative activities.
- Delegate for the executive, managing highly confidential and critical details.
- Coordinate affairs with senior leaders inside and outside the company.
- Manage the executiveβs complex calendar; coordinate logistics and complex travel/meeting arrangements; anticipate and resolve issues.
- Manage workload and reprioritize as needed; help adjust schedules to meet changing deadlines.
- Produce high-quality documentation and contribute to efficient administrative processes.
- Prioritize and address requests for appointments, emails, and telephone calls.
- Maintain confidentiality of organizational and staff information.
- Coordinate activities between departments and/or external parties.
- Follow up with stakeholders to gather information, prompt critical deadlines, and remove administrative roadblocks.
- Prepare meeting materials (agendas, pre-reads, notes/minutes, and assemble/edit PowerPoint).
- Process group purchase orders, invoices, and contracts.
- Assist with visitor registration (pre-registering and escorting).
- Support onboarding of new personnel in the department.
- Provide guidance and training to less experienced colleagues.
- Anticipate executive needs and drive administrative process improvements.
- Build collaborative relationships across the organization.
Knowledge & Skills:
- Advanced Microsoft Office.
- Advanced time management/organizational skills; ability to prioritize and multitask.
- High attention to detail.
- Advanced verbal and written communication.
- Exceptional interpersonal skills with senior executives.
- Ability to handle highly confidential and sensitive information.
Education & Experience:
- Typically high school/secondary education.
- Typically 5 years of experience (or equivalent combination of education and experience).
Pay Range:
- $89,600 - $134,400
