Main Responsibilities
- Manage the Global Headโs complex calendar across time zones; protect high-value focus time.
- Coordinate and sequence meetings for the broader team; resolve conflicts and interdependencies.
- Prepare agendas, pre-reads, and briefing packs; track follow-ups and ensure owners are accountable.
- Screen/triage inbound communications; flag urgent items and draft responses when appropriate.
- Arrange domestic/international travel end-to-end (flights, hotels, transport, visas, itineraries) with contingency planning.
- Prepare trip briefings (stakeholder backgrounds, objectives, logistics) and process/reconcile expenses accurately (e.g., Concur).
- Coordinate high-stakes meetings (leadership sessions, ExCom prep, quarterly business reviews, cross-functional forums).
- Manage logistics for offsites/workshops/events (venue, catering, materials, AV, participants).
- Serve as a trusted liaison for communications; handle confidential information appropriately.
- Support document/presentation preparation (formatting, proofreading, version control).
- Provide day-to-day operational support to direct reports (shared deadlines/resources, onboarding support).
- Maintain team org/distribution info; manage procurement/vendor needs; support budget tracking/PO processing.
- Exercise discretion and sound independent judgment.
Qualifications & Required/Preferred Skills
- 3+ years as an Executive/Senior Administrative Assistant supporting VP+ leaders (pharma/biotech or multinational preferred).
- High school diploma; Bachelorโs preferred.
- Strong experience in fast-paced, high-complexity strategy/corporate development/commercial functions.
- Experience across global time zones and senior executive stakeholders.
- Proficient in Microsoft 365 (Outlook, Teams, Word, PowerPoint, Excel, SharePoint); expense/travel tools (e.g., Concur).
- Exceptional organization, proactive autonomy, strong written/verbal communication, discretion, and emotional intelligence.
