Position Overview
The Executive Assistant provides administrative and project support to assigned Executive(s) or senior leaders with large teams. Collects and prepares information for discussions/meetings, makes sensitive internal/external contacts, anticipates administrative needs, and keeps day-to-day logistics running smoothly.
Duties and Responsibilities
- Anticipate and manage the Executiveβs day-to-day administrative needs
- Track department budget spending, expenses, headcount, assets, and space planning
- Draft/edit communications and documents; create/edit presentations; send internal emails
- Execute company-wide, site, and team events (independently or with other departments)
- Support new-hire onboarding (ordering equipment/supplies, workspace setup, training on administrative processes)
- Maintain calendars; set appointments; prepare agendas/meeting documents; follow up on deliverables
- Independently manage projects through completion; align resources across the organization
- Coordinate team event logistics (scheduling/calendars, room reservations/setup, AV/teleconferencing, catering)
- Coordinate domestic/international travel; reconcile expenses and submit timely
- Handle confidential/proprietary work with discretion; may review/approve invoices
- Assist with other assigned projects
Qualifications
- BS/BA preferred (not required)
- 10+ years of related administrative/executive support experience
- Advanced Microsoft Office: Excel, PowerPoint, Word, Outlook, SharePoint
