Job Description
The Associate I provides comprehensive administrative support and office management for Directors and Associate Directors in the US Vaccines & Infectious Diseases Business Unit. Responsibilities include exercising professional judgment with a strong focus on confidentiality; managing calendars (meetings and domestic/international travel logistics); managing expenses in a timely manner; and generating correspondence. The role requires proactive priority management, independent resolution of scheduling conflicts, and collaboration with internal and external stakeholders.

Specific Responsibilities:
- General secretarial/clerical duties (~50%).
- Coordinate and complete multiple tasks; work independently or in teams.
- Prioritize designated tasks; problem solve as appropriate.
- Train team members and encourage self-sufficiency.
- Schedule complex meetings and coordinate multi-leg international travel; identify calendar conflicts ahead of each week.
- Prepare complex/international travel expense reports.
- Interact professionally with executives and internal/external clients.
- Maintain confidentiality and professionalism.
- Assist with interview scheduling and onboarding new hires.
- Occasionally create analyses, correspondence, reports/presentations/tables/graphs, conduct light research, and coordinate special projects.

Education:
- High School Diploma or equivalent (Required)

Required Experience/Skills:
- 2+ years Administrative Assistant experience
- Proficiency: MS Outlook, MS Teams, Word, Excel, PowerPoint, and internal systems
- Experience scheduling coordinating complex multi-leg domestic/international travel
- SAP Concur/Ariba experience for expense reports and related transactions
- Ability to prioritize multiple simultaneous assignments
- Event planning/coordinating experience
- Attention to detail; strong communication/collaboration
- Budget/finance management experience
- Project management experience (preferred)
