Position Summary
The Administrative Assistant provides comprehensive administrative support to the AbbVie Cambridge Crossing (ACX) Site Leader and the broader site leadership team, helping ensure smooth day-to-day site operations and a positive site culture.
Responsibilities
Site Leadership Support
- Provide advanced administrative support to the ACX Site Leader, site leadership team, remote employees, other-site team members reporting into the Site Leader, and assigned Development Biological Sciences Portfolio staff.
- Manage and prioritize the Site Leaderβs calendar; resolve scheduling conflicts; coordinate routine meetings.
- Develop meeting agendas and capture minutes as required.
- Draft, review, and manage site leader communications.
- Represent the Site Leader on site-wide and Massachusetts-wide committees (e.g., social committees, employee resource groups).
Site Operations & Event Planning
- Plan and coordinate site events (town halls, external meetings, team-building, and other site-wide functions).
- Track and manage the site budget and maintain accurate records per corporate guidelines.
- Support the Crisis Action Team (CAT) as needed.
- Coordinate new employee office setups and support onboarding.
Administrative & Office Management
- Assist with travel arrangements, expense reports, calendar management, and courier scheduling.
- Prepare/revise business documents, compile meeting materials, and create presentations.
- Manage correspondence, teleconferences, and billing.
- Maintain departmental and site files per corporate/legal guidelines; follow purchasing procedures and internal policies.
- Use Microsoft Office Suite, Outlook, Adobe Acrobat, Corporate Travel website, and other business applications.
- Handle confidential/business-sensitive information with discretion.
- Interact professionally with senior/executive stakeholders.
Qualifications
Required
- High school diploma or equivalent.
- 3+ years administrative assistant (or related) experience.
- Prior experience supporting a Senior Director (or equivalent).
- Intermediate to advanced Microsoft Office (Word, Excel, PowerPoint), Outlook, Adobe Acrobat.
- Solid understanding of core business processes and organizational requirements.
