Responsibilities:
- Own front-of-house operations for the Executive Suite.
- Coordinate reception, switchboard, help-desk, and conferencing functions.
- Greet visitors and handle switchboard and help-desk inquiries.
- Coordinate room bookings, A/V setups, and on-site support for meetings and conferences.
- Serve as the primary escalation point for complex service requests; resolve or route as needed.
- Provide calendar management, travel coordination, and administrative support to Workplace Services leadership.
- Assist with event planning and on-site execution for executive meetings, town halls, and corporate events.
- Implement and track processes to improve efficiency, service quality, and front-of-house readiness.
Qualifications:
- Bachelorโs degree and 5+ years in reception, administrative, or workplace services (executive support or supervisory experience is a plus).
- Valid New York State driverโs license with a clear driving record; willingness to comply with company fleet safety requirements.
Required/Preferred Skills:
- Validated expertise with Microsoft Office, Outlook/Exchange calendaring, and room-booking/conferencing systems.
- Exceptional customer service and guest experience skills.
- Ability to balance multiple priorities and remain calm under pressure.
- Clear, professional communication with executives, colleagues, and external partners.
- Highly organized, meticulous, proactive, and able to anticipate needs.
- Comfortable covering conferencing services or emergency response situations.
