Role Summary

The STAR Executive Assistant will support the Executive Leadership Team in the C-Suite with AbbVie Admin requests, handling short-term and long-term assignments across AbbVie. Must adapt to different leadership styles and may fill in for other admins as needed. Assignment locations vary within Lake County, IL or Irvine (remote); onsite reporting in Lake County, IL unless requested otherwise.

Responsibilities

  • Provides general administrative support to the Executive Leadership Team, EVPs, SVPs, Managers, Directors, and Heads.
  • Monitors calendars, resolves conflicts proactively, and exercises independent judgment.
  • Follows applicable corporate and divisional policies; adheres to purchasing, security, privacy, branding, and copy center procedures.
  • Interacts with high-level executives and handles confidential information.
  • May assist with budget expenditure tracking.
  • Maintains departmental files in compliance with regulations.
  • Orders business cards and stationery.
  • Uses Microsoft Office Suite and other business software; coordinates travel and onboarding.
  • Supports onboarding for new employees and sets up office arrangements.
  • Operates with general instruction and supervision; safeguards confidential information.

Qualifications

  • Required: High school diploma; some college preferred.
  • 3+ years of administrative experience supporting executives.
  • Experience in a pharmaceutical company or CRO strongly preferred.
  • Mid- to advanced-level proficiency in Microsoft Office Suite, Concur, SharePoint, Visio or OrgPlus; understanding of business processes.
  • Proactive, persistent, and capable of adapting quickly to changing needs.

Skills

  • Strong collaboration and mentorship abilities; capable of coaching contractors or new admins.
  • Subject matter expert for training and onboarding initiatives.
  • Active contributor to teams and projects; adept at onboarding and role immersion.
  • Ability to manage multiple assignments simultaneously; strong relationship-building and communication skills.
  • Ability to influence without authority and adapt to different leadership styles.

Education

  • High school diploma required; some college preferred.

Additional Requirements

  • Onsite reporting in Lake County, IL unless otherwise requested; travel not specified beyond local assignments.
