Role Summary

Sr Executive Assistant. Supporting the Vice President of Large Molecule Discovery (LMD) in a hybrid onsite/remote role.

Responsibilities

  • Lead and develop a high-performing team of up to 3 Administrative Coordinators who provide support to over 500 scientists at research sites in the US, coordinating with AC teams across research areas.
  • Manage domestic and international travel arrangements for the Vice President, including flights, hotels, and ground transportation.
  • Process expense reports for the executive in compliance with company policies.
  • Maintain the executive's calendar, scheduling appointments and meetings efficiently.
  • Organize and coordinate logistics for group meetings, including venues, equipment, and catering.
  • Assist with arranging guest speaker visits, consultants, and candidate interviews for L8 and above.
  • Maintain departmental and functional calendars by managing vacation and on-site travel schedules.
  • Maintain all LMD distribution lists.

Qualifications

  • Basic Qualifications: Associate’s degree with 4 years of administrative experience or High school diploma/GED with 6 years of administrative experience.
  • Preferred Qualifications: Bachelor’s degree with 5+ years of administrative support experience supporting large teams; supervisory/leadership experience in technology-based organizations; excellent organizational, travel, and meeting planning skills; strong external communication; advanced PC skills (Outlook, Word, PowerPoint, Excel, SharePoint); strong time and project management; calm under pressure; experience managing multiple calendars across time zones; strong written, verbal, and presentation skills; experience supporting remote staff; ability to work in a fast-paced environment; discretion and confidentiality.
