Sr. Executive Administrative Assistant (Hybrid) โ€” Raynham, MA or New Brunswick, NJ; reports to the DePuy Synthes Chief Information Officer

Key Responsibilities
- Strategic Executive Partnership: Act as a trusted thought partner to SVP/VPs; manage administrative/operational demands; operate with a CEO-office mindset anticipating downstream impacts; exercise independent judgment; provide stability, clarity, and momentum.
- Executive Time, Calendar & Cadence: Manage complex global calendars; gatekeep scheduling/access; own annual executive cadence (meetings, board-adjacent activity, talent reviews, forums, conferences, external engagements); optimize calendars to protect focus time and align with priorities.
- Senior-Level Meetings & Coordination: Coordinate internal/external meetings with a โ€œno surprisesโ€ standard; manage end-to-end meeting logistics (agendas, pre-reads, executive-ready materials); partner to align agendas/sequencing; track follow-ups/actions/decisions.
- Executive Communications & Stakeholder Management: Manage executive email/correspondence; draft responses reflecting executive voice/intent/priorities; serve as primary point of contact for SVP/VPs; interface with senior leaders, internal teams, external partners, vendors.
- Administrative, Office & Operational Support: Coordinate communications/initiatives; oversee office operations (supplies, services, purchasing, vendor coordination); maintain administrative processes and provide backup support.
- Project, Program & Enterprise Support: Support leadership initiatives/special projects; assist with offsites, visitor management, compliance tracking, committee coordination, contract/payment processes; support internal communities (Credo Committee, Culture Team, WiSTEM, ERGs); independently manage or contribute to operational projects.
- Information, Travel & Event Management: Maintain filing systems; record/distribute meeting minutes; support onboarding logistics/materials/access; coordinate executive travel; process/reconcile expenses per policy; plan/execute meetings and events (A/V, setup, catering).
- Operational Excellence & Confidentiality: Assist with budget tracking as required; improve workflows; handle sensitive information with discretion; ensure operational reliability.
- Cross-Functional Coordination: Liaise with internal teams, external partners, vendors; enable collaboration through clear communication and follow-through.

Required Qualifications
- Bachelorโ€™s degree
- Minimum 8 years of experience in executive coordination or senior administrative support in complex, matrixed organizations supporting VP/SVP-level leaders
- Experience leveraging AI tools to enhance productivity/workflow efficiency
- Proficiency in Concur Travel & Expense, Microsoft Suite, Excel, and PowerPoint
- Advanced calendar, meeting, and event management experience
- Exceptional written and verbal communication skills
- High judgment, discretion, and emotional intelligence
- Ability to synthesize information, anticipate needs, and operate independently
- Comfort with ambiguity, shifting priorities, and incomplete inputs
- Strong organizational discipline and enterprise-level thinking

Benefits (time off)
