Senior Associate Flight Scheduler

Responsibilities:
- Coordinate all aspects of company air transportation for senior executives (including CEO) in a 24/7 on-call role.
- Develop/optimize executive airlift requirements and align with operational needs.
- Partner with Aviation, Chief Pilot, and Maintenance to ensure aircraft and crew availability.
- Maintain FAA/company compliance records (flight logs, fuel burns, personal aircraft usage pre/post flight).
- Lead pre-flight briefings; provide flight following takeoff to landing.
- Administer PFM and FlightBridge reservation systems; use FuelerLinx for fuel purchasing.
- Manage timeshare agreement for personal travel; handle SIFL/SEC reporting coordination.
- Conduct flight planning (enroute/ground times), manage board travel, and coordinate trip requests with stakeholders.
- Produce fuel optimization reports; coordinate ground support and external airlift as needed.
- Procure external airlift (aircraft selection, ground transport, catering, medical restrictions, flight following).
- Manage home-station fuel inventory and handling (FBO selection, PPR/parking, fuel releases, ramp space).
- Plan/manage international travel compliance (passports, UK ETA, health declaration forms, visas) and train/coodinate executive travel with AmexGBT.
- Manage aircrew currency/qualification; participate in training.
- Document/report travel expenses and manage passenger airport/hangar access.

Basic Qualifications:
- Master’s degree OR Bachelor’s degree + 2 years aviation management/transportation/logistics (or related) OR Associate’s degree + 6 years (or related) OR HS/GED + 8 years (or related).

Preferred Qualifications:
- Flight dispatching/aviation ops experience; strong aviation compliance knowledge.
- Excellent communication, organization, multitasking; flight scheduling software/office tools.
- Ability to work under pressure; attention to detail; coordinate with senior executives.
- Availability for after-hours response/urgent changes.
