Role Summary

The Senior Administrative Assistant, Commercial Business Operations (COBO) is a highly trusted, proactive partner providing advanced administrative and operational support to senior leaders and their teams. This role serves as a key liaison to the Vice President of COBO, anticipating needs, managing complex priorities, and ensuring the seamless execution of day-to-day operations, special initiatives, and leadership communications. The ideal candidate is detail-oriented, highly organized, and thrives in a fast-paced, matrixed environment, with strong executive presence and the ability to independently manage diverse projects while fostering relationships across Commercial, Finance, and cross-functional teams.

Responsibilities

  • Oversee the smooth functioning of the COBO office and cultivate a professional, welcoming, and high-performing environment
  • Provide administrative support for assigned leaders and/or client groups; back up colleagues during surge activities or absences as needed
  • Identify objectives, collaborate on content development with leaders, and assemble organizational monthly meeting slides
  • Handle confidential business, company, and personnel details
  • Draft, edit, and manage high-level communications, presentations, and reports for the VP of COBO
  • Manage commercial vendor/agency contracts, including initiation, tracking, invoicing, and ongoing communication with internal owners
  • Lead COBO budgeting efforts across three verticals in partnership with Finance, tracking monthly accruals to the operating plan
  • Maintain organization-wide plans and progress trackers; coordinate follow-up to advance annual goals
  • Coordinate logistics for on/off-site meetings and conferences, including high-priority events
  • Arrange travel for assigned leaders (domestic and international)
  • Manage calendars for assigned leaders
  • Reconcile and manage expense reports via Concur/corporate credit cards
  • Prepare scope of work, contracts, purchase orders, and master service agreements; collaborate to ensure timely completion
  • Support interdepartmental/cross-functional projects and share best practices with administrative staff
  • Perform additional administrative duties as directed

Qualifications

  • High school diploma; college degree preferred; 4 years’ related administrative experience supporting senior leadership in pharmaceutical or biotech industries (equivalent combinations considered)
  • Experience working with senior-level leaders and executing leadership presentations
  • Ability to independently manage complex projects with minimal guidance
  • Excellent ethics, integrity, and ability to maintain confidentiality
  • Proven ability to manage schedules, multiple projects, priorities, and resources in a fast-paced environment
  • Strong interpersonal skills, tact, diplomacy, and judgment
  • Proficiency with MS Office (Outlook, Word, Excel, PowerPoint)
  • Strong organizational skills and meticulous attention to detail
  • Ability to work independently and/or as part of a team; collaborate across departments
  • Ability to work accurately under pressure and follow instructions; able to articulate ideas clearly
  • Knowledge of pharmaceutical terminology (a plus)
  • Willingness to travel as needed

Education

  • High school diploma; college degree preferred. Targeting 4 years’ related administrative experience supporting senior leadership within the pharmaceutical or biotech industry. An equivalent combination of relevant education and experience may be considered.

  • Regular standing, walking, sitting, and use of hands for operating equipment; ability to lift up to twenty pounds; occasional travel required
