Role Summary

Sr. Administrative Assistant to support the GS Digital and Data and Service Excellence Team in New Brunswick, New Jersey. The role provides high-level administrative and organizational support to the Vice President, GS Data and Digital Capabilities and Service Excellence and other team members as needed. Work arrangement: in-office 3-4 days/week, remote 1-2 days/week.

Responsibilities

  • Perform project coordination and administrative support for the Vice President, GS Data and Digital Capabilities, including complex calendar management and meeting coordination with internal and external partners.
  • Handle confidential documents (presentations, memos, correspondence, expense reports) and assist in creating pre-reads and training materials.
  • Coordinate complex domestic and international travel; provide executive meeting support and large meeting coordination.
  • Support leadership team meetings, including scheduling, agenda/pre-read preparation, AV/catering support as needed, and notetaking as required.
  • Maintain advanced proficiency with technology platforms (Excel, Outlook, PowerPoint, Word, Concur, SharePoint, Viva Engage, Zoom, MS Teams, Workday, Globalview, eMarketplace, IRIS).
  • Create and submit purchase orders; assist with quarterly accruals.
  • Foster positive relationships with staff and management to provide or gather sensitive information.
  • Build strong relationships with Executive Assistants and GS admins to ensure effective collaboration.
  • Operate with minimal day-to-day guidance; maintain confidentiality and understanding of Johnson & Johnson policies.
  • Participate in key team meetings; coordinate in hybrid environment and understand cross-regional cultural aspects.

Qualifications

Education

  • High school diploma required; Associate's or Bachelor's degree preferred.

Experience and Skills

  • Minimum five years of experience as an administrative assistant.
  • Ability to manage multiple priorities, maintain confidentiality, and operate with poise in a high-profile, fast-changing environment.
  • Excellent oral and written communication skills.

Preferred

  • Ability to anticipate executive needs and prepare information for executive review with strong organizational skills.
  • Experience with Workday, eMarketplace, Concur, Totality, SharePoint, MS Teams.
  • Computer and systems savvy; experience supporting global organizations.
  • Interpersonal, collaboration, analytical and problem-solving skills; sound judgment and discretion.
  • Positive, can-do attitude; adaptability to change; efficiency in a fast-paced environment.
