Role Summary

Provide high-level administrative support to the Perrigo Infant Formula Plant in Eau Claire, WI (80%) and to the Perrigo Nutrition Manufacturing Network (20%), including executives and senior managers as well as hourly employees as needed to ensure efficient operations and effective communication. The position runs Monday–Friday with a tentative schedule of 7:30 AM–4:00 PM.

Responsibilities

  • Serve as the primary administrative point of contact between executives and internal/external clients. Liaison with vendors.
  • Manage front desk activities, including assisting visitors, managing PPE stock, and coordinating facility maintenance administrative duties.
  • Organize executives’ schedules, appointments, expense reports and travel arrangements.
  • Handle incoming calls, messages, correspondence, and mail (both incoming and outgoing).
  • Coordinate and facilitate meetings, including taking minutes, arranging logistics, and ordering necessary items.
  • Maintain an efficient documentation and filing system, including creating and maintaining a badging system for site security and timecard system.
  • Oversee the procurement and management of office supplies and negotiate advantageous deals with suppliers. Coordinate DHL shipments.
  • Plan and execute special events (e.g., holiday meals, cookouts, Fun Fridays) and support DE&I site events.
  • Ensure GMP compliance and provide support in HR functions like uniform and safety shoe orders including contractors.
  • Provide general support to visitors and manage front desk activities. Creating purchase requisitions and performing goods receipts.

Qualifications

  • Required: Proven experience as an Executive Administrative Assistant, Senior Executive Assistant, or similar role.
  • Required: Strong knowledge of office management systems, procedures, and office gadgets.
  • Required: Proficient in Microsoft Office Suite; exemplary planning and time management skills.
  • Required: Excellent verbal and written communication skills.
  • Required: Ability to multitask, prioritize tasks, and work well under pressure.
  • Required: Professional demeanor and appearance.
  • Required: Discretion and confidentiality.
  • Preferred: 3+ years of direct experience.

Education

  • High School Diploma - Required.
  • Degree in Business, Administration, HR or relevant field - Preferred but not required.

Skills

  • Proficient in Microsoft Office Suite.

  • Excellent verbal and written communication skills.

Additional Requirements

  • Physical: Sit for long periods; lifting and carrying 1–5 lbs frequently, with aid of cart; 5–25 lbs infrequently, with aid of cart.
  • Environmental: Occasional exposure to chemicals and loud noises/machinery; rarely enter confined spaces; rarely able to work off-shifts (weekends, nights); indoor, climate-controlled environment.
