Senior Meeting Specialist

Responsibilities
- Lead end-to-end planning and execution of national and regional meetings, ensuring alignment with business objectives and compliance standards.
- Collaborate with internal stakeholders to define meeting goals, agendas, and logistics.
- Ensure timely shipping and arrival of all meeting materials.
- Review and approve invoices, manage reimbursement issues, and maintain accurate documentation.
- Manage relationships with external vendors including hotels, transportation, and production companies.
- Negotiate contracts and ensure service delivery meets quality and compliance standards.
- Set clear objectives and expectations for vendors using structured project plans.
- Utilize CVENT and other meeting management tools to streamline planning, registration, and reporting.
- Troubleshoot system issues and recommend enhancements to improve efficiency.
- Maintain regulatory records and ensure audit readiness.
- Support onboarding and training of new associates in meeting planning best practices.
- Identify and implement process improvements to enhance department efficiency and stakeholder satisfaction.

Qualifications / Requirements
- Bachelor’s degree required.
- Minimum of 3 years in meeting planning and facilitation, preferably in pharmaceutical or similarly regulated industry.
- Experience with meeting management systems (CVENT required).
- Up to 30% travel throughout the US and occasionally internationally (may include weekend and overnight trips).

Preferred
- CMP or HMCC certification preferred.

Skills / Knowledge / Abilities
- Highly detail-oriented; able to plan and prioritize workloads for multiple projects.
- Strong time management and organizational skills.
- Advanced MS Office skills (Excel, PowerPoint, Outlook).
- Knowledge of AMA, ACCME, and FDA regulations for promotion and industry-supported scientific educational activities.
- Experience with hybrid and virtual meeting formats.
