Essential duties and responsibilities
- Internal stakeholder collaboration; coordinate with Legal, Compliance, and Finance to ensure event processes are followed (frequent commute to Princeton, NJ office visibility).
- Logistics coordination with agency partners and internal stakeholders (venue, catering, transportation, group housing); may handle end-to-end planning for small/ancillary meetings.
- Budget management: manage event/congress budgets, track expenses, and process payments with Finance.
- Vendor management: support vendor research; assist with negotiating contracts (venues, caterers, audiovisual, service providers).
- Event preparation: build meeting materials, agendas, name badges, and registration lists.
- On-site execution: oversee booth/room setup, registration/housing management, and teardown; resolve issues.
- Marketing and promotion: coordinate with internal marketing on attendee communications.
- Post-event evaluation: assess feedback and metrics for improvements.
- Compliance: partner with Global HQ Compliance to ensure adherence to regulations, contracts, HCP spend caps, and policies.

Qualifications/requirements
- Preferred: Bachelor’s in hospitality/communications/marketing or related.
- Required: 7+ years executing events in the US and globally; congress and HCP-compliant meeting planning experience.
- Preferred: CMP/CMP-HC/CMM.
- Required: Microsoft Office; event management software (e.g., Cvent, Exhibit Force).
