Role Summary
Senior Executive Assistant to the Chief Executive Officer (CEO) at Vir Biotechnology. You will be a key member of the CEO Office, ensuring the CEOโs days run smoothly by managing calendars, travel, meetings, and board interactions. The role requires discretion, proactive planning, and meticulous execution to support a fast-paced CEO. Location: San Francisco, onsite five days per week.
Responsibilities
- Take ownership of complex calendar management, including careful and proactive scheduling, room booking, and timeline planning
- Anticipate the CEOโs needs before they arise by preparing and gathering materials and thinking ahead on logistics, meetings, and travel
- Plan and coordinate end-to-end travel, considering every aspect of logistics, making last-minute necessary changes to ensure a seamless experience
- Prepare meetings by compiling relevant information, creating agendas, confirming attendees, and handling logistics
- Proactively manage multiple requests and deadlines, effectively communicating priorities and reorganizing as new priorities emerge
- Serve as the administrative liaison to the Board of Directors, including managing all board meeting logistics
- Always exercise discretion and sound judgment when handling confidential or sensitive information
- Plan and coordinate logistics for corporate events including venue selection, contracts, catering, audio-visual equipment, and rentals
- Lead the EA function by developing and implementing best practices, standardizing processes, and providing mentorship; oversee and support other EAs through a dotted-line reporting structure
- Keep the CEO informed by delivering briefings, confirming schedules and changes as they happen, and ensuring that plans, materials, and next steps are clearly communicated
Qualifications
- 10+ years of experience providing high-level executive assistant support to C-suite leaders
- 5+ years of experience directly supporting a CEO or CFO in a publicly traded biotech or pharmaceutical company
- Proficient in managing complex calendars and proactively planning robust daily schedules
- Able to exercise discretion and safeguard confidential and highly sensitive information
- Experience planning and managing detailed, multi-leg travel for senior executives
- Ability to be selective with an executiveโs time, prioritize competing demands, and keep multiple tasks and deadlines on track in a fast-paced setting
- Exceptionally detail-oriented and dependable, with a proven ability to manage logistics and information without letting anything slip through the cracks
- Proven ability to communicate proactively with executives, providing timely updates and anticipating questions or concerns before they arise
- Experience taking initiative and providing leadership within an EA community, including mentoring peers and driving continuous improvement in administrative workflows and processes
- Experience with the Microsoft Office suite, including Outlook; familiarity with Boardvantage is preferred
