Role Summary
Senior Administrative Assistant, Corporate Communications. Supports the Corporate Communications department with advanced administrative functions, calendar management, travel coordination, correspondence, meeting planning, document preparation, and project support for CC programs. Reports to the Vice President, Corporate Communications.
Responsibilities
- Provides advanced administrative support to the Vice President, Corporate Communications; light admin support for VP direct reports, including scheduling large meetings and sourcing materials.
- Planning and logistics support for CC all-staff meetings.
- Veeva Project Management – general project management across the CC leadership team, tracking deliverables, plans, decks, etc.
- Management of files on the CC Teams channel, archiving and organizing team materials.
- Operate with intermediate to advanced software skills, including Microsoft Office Suite, corporate travel systems (domestic and international), and other programs.
- Assist with entering and tracking media inquiries in the department database; pull media articles and monitoring reports.
- Proficient proofreading of documents.
- Manage printing, binding, and delivery of CC materials to C-Suite executives; support hard copy pre-reads and CEO briefings.
- Handle confidential or business-sensitive information.
- Coordinate new employee office setups and onboarding.
Qualifications
- 3-5 years of administrative assistant-related experience; High School diploma or equivalent.
- Experience supporting a VP level or equivalent.
- Exceptional project management skills.
- Intermediate to advanced knowledge of Microsoft Office Suite, Outlook, Adobe Acrobat; understanding of business processes.
- Self-starter who can function at a high level with general instruction.
- Ability to build strong cross-functional relationships to enable efficient Corporate Affairs operations.
- Team-oriented with a can-do attitude and a drive to be productive.
- Quick learner able to adapt to change; open to suggestions and innovation for improvement.
- Professional demeanor and ability to maintain confidentiality.
